Privacy Policy

1. Sender Privacy and Traceability

MappyMail may allow you to omit your name and personal return address from an eligible physical mailed piece.

When those details are omitted, MappyMail’s service sender and default return address still appear.

Omitting your name or personal return address does not make the letter, sender, order, or transaction untraceable.

MappyMail does not guarantee anonymity, confidentiality, secrecy, or that a sender cannot be identified.

Information associated with an order may be processed or retained by MappyMail and independent providers involved in payment processing, hosting, security, fraud prevention, printing, fulfillment, postage, delivery, support, analytics, or legal compliance.

Those third parties may independently maintain records under their own systems, privacy policies, operational requirements, contractual obligations, and legal obligations.

MappyMail does not control every record maintained by independent providers, does not know every method by which information might later be associated with a sender, and cannot guarantee that a sender will not be identified through transaction records, payment information, device or network information, provider records, postal processes, legal process, information in the letter, surrounding circumstances, or other information outside MappyMail’s control.

If your safety or other important interests depend on your identity remaining unknown, do not rely on MappyMail as an anonymous or untraceable communication method.

2. Letter-Content Deletion

Once acceptance by MappyMail’s print provider is confirmed, MappyMail schedules the letter’s content, mailing addresses, contact email, and PDF artifacts maintained by MappyMail for deletion.

If you do not request a confirmation email, cleanup is queued promptly after print-provider acceptance is confirmed.

If you request a confirmation email, the document is retained only while confirmation is attempted and is queued for cleanup after confirmation succeeds or after 14 days, whichever occurs first.

If a provider response is uncertain, MappyMail may temporarily retain data needed to reconcile the transaction. An unresolved case may enter a seven-day manual-review period before cleanup.

Provider, storage, network, or technical outages may delay deletion, and failed cleanup attempts may be retried.

A temporary PDF upload not attached to an active order is scheduled for deletion after approximately 24 hours, subject to retry and technical requirements.

Draft cart contents may be stored in your browser until you send, delete, or clear them. Someone with access to that browser profile may be able to view those drafts.

Because uploaded PDFs are temporary, an older saved cart may require the PDF to be uploaded again.

3. Temporary PDF Storage

During processing, PDFs may be stored at randomized, unlisted storage locations.

The exact storage URL can operate as a temporary access key. A person who obtains the URL could potentially access the file until cleanup succeeds.

MappyMail does not intentionally publish or index these URLs and provides document information only to providers needed to operate and fulfill the transaction or as otherwise permitted by law.

4. Transaction Recovery Data

Immediately before or during payment confirmation, MappyMail may temporarily maintain a server-side recovery copy of order information so fulfillment can resume if a browser closes, a payment method redirects, or an uncertain provider response requires reconciliation.

Recovery information is removed or queued for cleanup after payment and fulfillment are safely resolved.

If payment or fulfillment status remains uncertain, information may be retained only while authorization, reconciliation, dispute, security, or manual-review processes remain active, subject to applicable legal requirements.

5. Information MappyMail Processes

Mailing information. Recipient information, mailing addresses, optional personal return-address information, unit information, delivery preferences, and other information necessary to prepare and mail a letter.

Letter content. Text, PDFs, images, or other document content you submit for printing and mailing.

Contact information. Your email address when you request confirmation, payment or fulfillment communications, or contact support.

Payment and transaction information. Payments are processed by Stripe or another payment provider made available through the Service. MappyMail receives transaction status, identifiers, receipt information, amount, timing, and other information necessary to process and support the transaction, but not full payment-card details.

Usage and security information. Basic technical and operational information such as IP address, browser type, device information, timestamps, request logs, security events, order identifiers, and information used to maintain reliability, investigate errors, and prevent abuse or fraud.

Optional location information. If you permit location access, it may be used to help you identify or select a mailing destination. MappyMail does not maintain traditional user profiles.

Cookies and similar technologies. MappyMail uses limited cookies or similar technologies for essential functionality and basic site analytics.

6. How MappyMail Uses Information

MappyMail may process information to:

• provide and fulfill the mailing service you request;
• process and reconcile payments;
• create, prepare, print, and mail letters;
• provide requested confirmations or support;
• investigate failed transactions, disputes, fraud, abuse, security events, and delivery problems;
• maintain and improve Service reliability;
• enforce Terms;
• comply with applicable law; and
• establish, exercise, or defend legal rights.

7. How Information Is Shared

MappyMail does not provide sender information to a recipient merely because the recipient requests it.

However, information may be processed by or disclosed to independent providers as necessary to operate, secure, support, and fulfill the Service.

Providers may include payment processors such as Stripe, hosting and infrastructure providers, fraud-prevention and security providers, printing and mail-fulfillment providers, postage and postal-delivery providers, communications and support providers, and professional advisers where reasonably necessary.

Information may also be disclosed to courts, regulators, law-enforcement agencies, government authorities, or other parties when required or permitted by applicable law, including through valid legal process or when reasonably necessary to protect rights, safety, users, recipients, providers, the public, or the Service.

If MappyMail participates in a merger, acquisition, financing, reorganization, asset sale, or similar transaction, information may be transferred as part of that transaction subject to applicable law.

8. Independent Provider Records

Independent providers may retain records associated with a MappyMail transaction separately from MappyMail.

This may include payment records, transaction identifiers, fulfillment information, operational logs, delivery records, fraud-prevention information, security information, or other records required for the provider’s role.

Deletion of information from MappyMail’s systems does not necessarily delete information independently maintained by Stripe, a print or fulfillment provider, postal or delivery providers, hosting providers, or other third parties.

MappyMail does not control whether every such record exists, exactly how long each provider retains it, whether it could later be associated with a sender, or whether a provider may be legally required or permitted to disclose it.

9. Retention

MappyMail aims to retain personal information only as long as reasonably necessary for fulfillment, security, fraud prevention, reconciliation, support, dispute resolution, legal compliance, and protection of legal rights.

Letter content and direct fulfillment information maintained by MappyMail are scheduled for deletion as described in this Policy.

Limited information may be retained longer where reasonably necessary, including transaction identifiers, payment status, amounts, mail-provider identifiers, delivery status, security events, fraud indicators, support records, chargeback and dispute information, and records reasonably necessary for legal compliance or the establishment or defense of legal claims.

Independent providers apply their own retention requirements.

10. Legal Process, Safety, and Investigations

MappyMail may preserve, access, or disclose information when required or permitted by applicable law.

This may include responding to subpoenas, warrants, court orders, regulatory requests, law-enforcement requests, or other valid legal process.

MappyMail may also preserve or disclose information where reasonably necessary to investigate fraud, abuse, threats, harassment, safety concerns, suspected unlawful conduct, or violations of the Terms, or to protect MappyMail, users, recipients, providers, the public, or the Service.

MappyMail does not promise that sender information will remain undisclosed when disclosure is legally required or otherwise permitted under applicable law.

11. Security

MappyMail uses administrative, technical, and operational safeguards intended to protect information.

No internet service, storage system, payment system, printing system, fulfillment provider, postal system, or security measure can guarantee absolute security or confidentiality.

MappyMail therefore cannot guarantee that information will never be accessed, disclosed, associated with an order, inferred, obtained, or otherwise discovered.

12. Your Choices

For eligible letters, your personal return address may be optional.

When it is omitted, MappyMail’s service sender and default return address still appear on the mailed piece.

Choosing not to provide a personal return address does not prevent MappyMail or its providers from processing other information associated with the order and does not guarantee that the sender cannot be identified.

Confirmation communications may be optional.

Location permission is optional and is used to assist with map-based location selection when enabled.

You should review letters and uploaded documents for names, signatures, contact information, metadata, business information, or other content that may identify you.

13. Information MappyMail May Receive From Others

MappyMail may receive information from payment providers, printing and fulfillment providers, postal or delivery providers, recipients, support contacts, fraud reports, security systems, regulators, law enforcement, or other parties in connection with an order or the Service.

MappyMail may process that information where reasonably necessary to provide the Service, resolve issues, investigate abuse, comply with law, or protect rights and safety.

14. International Processing

MappyMail is based in the United States.

Because MappyMail and its providers may operate or maintain systems in the United States or other jurisdictions, information may be processed in countries different from the country in which you reside.

Where applicable law requires particular protections for international transfers of personal information, MappyMail will apply legally required safeguards.

15. Privacy Rights

Depending on where you live, applicable privacy law may give you rights concerning personal information, which may include rights to request access, correction, deletion, restriction, portability, or information about processing, or to object to certain processing.

Those rights are subject to applicable exceptions, verification requirements, technical limitations, and legal obligations.

MappyMail may request information reasonably necessary to verify your identity and locate relevant records.

Because MappyMail intentionally deletes much direct letter content and fulfillment data after processing, requested information may no longer exist in MappyMail’s systems when a request is received.

Independent providers maintain and control their own records and may require separate requests under their own procedures.

16. No Sale of Personal Information

MappyMail does not sell personal information.

MappyMail does not use letter content for advertising.

17. Children

The Service is intended for adults.

MappyMail does not knowingly offer the transaction service for use by children under 18.

18. Changes to This Privacy Policy

MappyMail may update this Privacy Policy when the Service, providers, practices, or legal requirements change.

The “Last updated” date identifies the most recent revision.
